Why Shopify doesn't do it on its own
Draft orders work well for quotes and custom orders. But a custom item is a one-off line, not a product, and Shopify shows it without an image or a clickable title. Drafts also have no end date for a quote. Shopify only deletes a draft after a year with no activity (for drafts made on or after 1 Apr 2025), and any edit resets that clock. A year is far too long for a quote on made-to-order work.
The free way
- For pieces you want pictured, create a product for each one and add its photo. Products show their image in a draft order; custom items don't.
- To keep it out of your shop, you can set the product to Unlisted, which hides it from store search and collections. Check it still shows when you search for it in the draft before you rely on it.
- Go to Orders › Drafts › Create order and add that product instead of a custom item.
- Or keep the custom item and email the photos to the customer yourself.
- Send the invoice. In the invoice message, write how long the price holds, for example "Valid until 20 October".
- Put a reminder in your calendar to follow up before that date, and delete the draft by hand if the customer says no.
Where the free way falls short
- Your product list fills up with one-off pieces you have to clean up later.
- Photos in a separate email get lost. The customer sees the price in one email and the pictures in another.
- Nothing ends the quote on its date. The draft sits there until you remember it.
- Reminders and clean-up are all by hand, quote by quote.
The easier way: RNS Quote Photos
- Open a draft order on your laptop or in the Shopify app on your phone. On the Quote photos card, add a photo to each line. On a phone, you can take it with the camera.
- Click Send quote. Set the valid-until date (14 days by default), edit the message and preview it. The customer gets your shop's email with the photos per line, the total, the valid-until date and a Review and pay button.
- Track it on Home. Every quote shows as Sent, Expires in N days, Expired or Paid. On Pro, a reminder goes out before the quote ends, and expired drafts are tagged or deleted (your choice).
The Free plan covers 10 quotes sent a month, and photos always save. Pro is $12 a month with a 14-day free trial: unlimited quotes, the reminder before expiry, and expired drafts tagged or deleted.
What to know: the Quote photos card has to be added and pinned on the draft order page once (Blocks › + Block › Quote photos).
Questions
Can Shopify's own draft order invoice show the photos?
Yes. The app gives you a short snippet to paste into Shopify's "Draft order invoice" template.
Do draft orders expire in Shopify?
Not on a date you choose. Drafts made on or after 1 Apr 2025 are deleted after a year with no activity. The app adds your own valid-until date: 7, 14, 30 or 60 days, or no end date.
What happens to the photos if I uninstall?
They stay in your Shopify Files. The app never deletes them.
