Let trusted customers put it on their account at the till

Builders, farms, schools and regulars ask to "put it on my account" and pay at the end of the month. Shopify POS can't sell on payment terms, so the counter keeps a paper book and someone chases it every month. RNS House Charge Accounts puts the book in Shopify.

↑ the customer screen at the till (POS)

How it works

  1. Open an account for a Shopify customer: credit limit, terms (Net 30 or yours), PO number if they need one, and who may buy.
  2. At the till, add the customer, open them and tap Charge to account. The sale becomes a Shopify order with payment due, stock comes off at that location, and a slip prints for the customer to sign.
  3. On the 1st, every account gets a statement with a Pay link for each open order. Payments by card, cheque, cash or bank transfer land in the book; reminders chase what's overdue.

What you get

  • Charge to account in POS, from the customer's screen, with a printed slip to sign
  • Credit limits with "$x left" at the till; over the limit warns or blocks, your choice
  • Terms per account (Due on receipt, Net 7 to Net 90), PO numbers and named buyers
  • One book per account: charges, payments, balance and what's owed by age
  • Record payments taken at the counter or by cheque or bank transfer, in full or in part
  • Monthly statements with a Pay link per order, overdue reminders and an automatic hold with a 7-day warning
  • Order desk for phoned and emailed orders, and Drop a PO: AI reads a buyer's PDF, sheet, photo or email into order lines
Honest limits

What it can't do

  • Account charges don't show in POS reports. Shopify only counts orders POS itself makes, and apps can't create those, so they're listed as online orders. The app's book has every charge, each tagged with its location, so you can filter Orders by it.
  • Shopify shows a part-paid order as unpaid until it's paid in full; the app's book shows what's left.
  • Only customers you open an account for can charge. Everyone else pays the usual way.
  • Pay links open Shopify checkout for one order at a time; paying the whole balance in one go isn't there yet.

Questions

Where is the button in POS?

On the customer's screen. Add the customer to the sale, open them, and tap Charge to account. The House account block there shows their balance and limit. Turn it on once in the POS editor under Customer details.

Is an account charge a real Shopify order?

Yes: an order with payment terms and a due date, tagged "House charge" and the account number. Stock, tax and your order list work as usual.

What happens when someone goes over their limit?

By default staff see a warning and can charge anyway with a reason, which is logged. Switch it to block in Settings.

Do customers get emails while I'm setting up?

No. Test mode is on at install: statements and reminders go only to you until you turn it off in Settings.

What does the AI read?

Only the PO you drop into Drop a PO (Pro+). It goes to our AI provider, Anthropic, to read the lines; we keep the file until the order is made or 7 days. Nothing is ordered until you press Add.

Set up and use

7 steps
  1. Install the app and choose a plan. Test mode is on, so customers get nothing yet.
  2. Accounts › Open an account: pick a Shopify customer (or create one), set the credit limit and terms, tick "Ask for a PO number" if they need one, add named buyers. Bring over what they owe from your paper book as an opening balance.
  3. In POS: turn on the House account block in the POS editor (Customer details). Add a customer to a sale, open them, tap Charge to account, check the amount and charge. The slip prints, or tap Reprint later.
  4. Record payment on the account when they pay at the counter, by cheque or by bank transfer: oldest charges first, or choose them.
  5. Statements: the 1st of each month, or Send statement on an account any time. See the email shows it as the customer gets it.
  6. Overdue: reminders go 7 and 21 days after the due date; after the hold days you set, the account goes on hold, with a warning to you 7 days before. More actions › Lift the hold when it's sorted.
  7. Order desk (Pro+): pick the account, add items or Last order again, type the PO number, Create order on account. Drop a PO reads a buyer's PO into lines for you to check.
