Your own stock reasons, notes and who did it

Shopify's stock adjust box gives a short list of fixed reasons, with no note and no reasons of your own. And every refund ticks "Restock items", so a broken return can quietly go back on sale. RNS Inventory Notes fills both gaps.

↑ the stock note

How it works

  1. Set your reasons: six are ready; rename them or add your own.
  2. Staff change stock in the app, on a laptop or a phone at the shelf: product, amount, reason, note.
  3. Stock changes in Shopify at once. You see the history, the totals and the cost of damage and loss, and you can undo any change.

What you get

  • Change stock with your own reasons, a note and the staff member's name
  • See the cost of damaged, lost and stolen stock each month
  • Undo any change in one click; both lines stay in the history
  • Full history with filters, monthly totals and CSV export
  • Fast phone screen for stock counts at the shelf
  • Refund restock guard: returned items stay off sale unless you say so
Honest limits

What it can't do

  • Shopify's own adjust box and point of sale don't change; staff adjust in the app.
  • The refund guard can't untick Shopify's box: the item is back on sale for about a minute before the app takes it out. It covers refunds and returns of shipped items, not cancellations.
  • Free covers your main location and the last 30 days of history.

Questions

Does it replace Shopify's adjustment reasons?

No. Shopify's history still shows its own reason; the app adds your reason, a note, who did it and the cost, and links both with a reference (A-1042).

Undo didn't put the stock back to the old number.

Undo changes stock by the same amount the other way. If stock moved in between, it won't land on the old number.

How does the refund restock guard work?

Pro: when Shopify puts a returned item back in stock (on a refund or a return), the app takes it back out straight after and logs it. Undo it if the item was fine. It acts only on shipped items, at locations the app uses.

Why does Shopify say the app sees device data?

Shopify shows that line for every app that reads orders. The app reads refunds only to see which items went back in stock; no customer names, emails or IP addresses.

Set up and use

6 steps
  1. Install, choose Free or Pro. Six reasons are ready (Stock count correction, Damaged in store, Returned to stock, Theft or loss, Sample or display, Staff use), each mapped to Shopify's nearest reason.
  2. Reasons: rename, add your own, drag to set the order, say which need a note, turn off ones you don't use (used reasons stay on old rows and can't be deleted).
  3. Adjust stock (laptop or phone): find the product by title or SKU, pick the location, Change by (−2) or Set to (a count), pick a reason, add a note. Stock changes in Shopify at once; Shopify's history shows its reason and our reference (A-1042).
  4. Home: the last 30 days (units in and out, cost of damaged and lost stock), top reasons, by staff, the latest changes. History: filter by date, product, location, reason, staff; monthly totals and CSV (Pro). Any row: the note, who, the cost, Edit note, Undo (a reverse adjustment; both stay).
  5. Settings: when a note is needed, staff name from the Shopify login or typed initials, "Are you sure?" above N units, show cost, which locations.
  6. Refund restock guard (Pro, Settings): Shopify ticks "Restock items" on every refund, so damaged returns go back on sale. Turn the guard on and every returned item put back in stock (refunded with Restock ticked, or restocked on the return in Shopify's Returns flow) is taken back out of stock straight after, for all products or only products with the tags you list; point of sale refunds only if you tick them. Each one is a History row: reason "Refund: not restocked" (rename it on Reasons), note "Refund on order #1234" or "Return on order #1234", staff "Refund guard". If the restock was right, Undo it. Needs the "View orders" and "Returns" access Shopify asks for after the update.
